PRIMIND LLC PRIVACY POLICY

This Privacy Policy describes how Primind LLC ("Primind", "we", "us", or "our") collects, uses, stores, and protects personal information in connection with its websites and applications (the "Service"). This Privacy Policy applies to our websites, applications, and related services.

1. Definitions

  • Personal Data means information that identifies or relates to an identifiable individual.
  • Processing means any operation performed on Personal Data, including collection, storage, use, or deletion.
  • Primary Owner means the account that created an organization and holds billing authority for that organization. Each organization has exactly one Primary owner.
  • Owner means a user designated by the Primary owner with full administrative authority over organization settings and access, excluding billing.

2. Information We Collect

We collect and process the following categories of information:

a. Account Information

  • Email address, which is used as a unique account identifier and for authentication, invitations, and service communications;
  • Password, which is never stored in plaintext and is stored only as a salted, cryptographically secure hash using industry-standard password hashing techniques.;
  • Billing information, which may be required by our third-party payment processor.

b. Organization Content and User-Generated Data

With appropriate authorization and consent, we process content associated with organizations, including:

  • Emails (sent and received), including headers, bodies, and attachments;
  • Documents and files ingested into the Service;
  • Email addresses associated with organization members or mailbox access.

This content may contain Personal Data, including information about users and third parties, as provided by the organization.

c. Technical and Operational Data

We may collect limited technical or operational information necessary to operate and secure the Service, such as log data, device information, or IP addresses used for security, fraud prevention, or abuse detection. We do not use such data for advertising or cross-service tracking.

3. User Roles and Consent

Primind supports the following roles for email addresses within an organization:

  • Primary owner, which designates the account that created the organization and holds billing authority for that organization.
  • Owner, which allows a user to manage organization settings and access, excluding billing.
  • User Access, which allows an individual to log in to the Service and use application features.
  • Mailbox Access, which allows Primind to ingest sent and received emails from an email address for organization-level knowledge management.

All roles (other than the identity of the Primary owner) may be granted or revoked at any time by the Primary owner or any Owner and take effect immediately upon change. Roles are granted only after consent by the invited email address.

Revoking mailbox access stops future email ingestion. Previously ingested organization data is retained until the organization no longer exists in the Service.

4. Email Ingestion and Authorization

Email ingestion occurs only after explicit authorization through third-party authorization flows, including but not limited to:

  • Google authorization portals for Gmail accounts;
  • Microsoft authorization portals for Outlook accounts;

Authorization may be revoked either through Primind or through the applicable email service provider, in which case future ingestion will stop immediately.

Email ingestion is suspended while billing for an organization is inactive or invalid. If billing is later reinstated, ingestion resumes and may include emails from the period during which ingestion was suspended.

5. How We Use Information

We process Personal Data solely to:

  • Provide and operate the Service;
  • Authenticate users and manage accounts;
  • Ingest, store, and retrieve organization content for knowledge management and AI-powered retrieval;
  • Generate and store derived representations or organization data, such as embeddings or compact textual summaries used for retrieval;
  • Send required service communications (e.g., verification emails, invitations, password resets);
  • Maintain system security and prevent misuse;
  • Improve our services to provide better user experiences; and
  • Comply with legal obligations.

We do not use Personal Data for advertising.

6. Data Sharing and Service Providers

We share limited information with third-party service providers and processors as necessary to operate the Service, including:

  • Stripe (payment processing);
  • SendGrid (transactional email delivery);
  • Google and Microsoft (email authorization and ingestion);
  • Cloud infrastructure providers (hosting and storage in the United States).

We do not sell or share your Personal Data with third parties without your consent, unless required by law.

7. Data Storage and Retention

  • Organization data, including ingested emails, documents, and derived embeddings, is stored at the organization level.
  • Data is retained for as long as the organization exists.
  • When an organization is deleted, all associated data is permanently deleted without a grace period.

Individual users leaving an organization does not automatically delete historical organization data.

8. Cookies and Tracking

We do not use non-essential cookies or tracking technologies. Any cookies used are strictly necessary for the operation of the Service.

9. Data Protection

We implement appropriate technical and organizational measures to protect Personal Data against unauthorized access, alteration, disclosure, or destruction.

10. Children’s Data

The Service is not intended for individuals under the age of 18.

11. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, or request deletion of Personal Data, or to object to certain processing. Requests can be made by contacting us at support@primind.ai

12. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of the Service after changes become effective constitutes acceptance of the revised policy.
